Kabayan Cargo is a service of Airlink International UAE.

This Privacy Policy explains how we collect, use, store, and share personal information when you use the Kabayan Cargo website, submit a service request, send cargo, track a shipment, contact our team, or use our related services.

We collect personal information that is reasonably necessary to provide, manage, support, and improve our services.

1. Information We Collect

The information we collect depends on the service you use.

Contact Information

We may collect your full name, mobile number, email address, customer or booking reference, and information you provide when communicating with us.

UAE Pickup or Service Information

When you request an empty box, cargo collection, survey, or another service, we may collect your UAE service or pickup address, emirate or service area, preferred service date, preferred time, access instructions, and service notes.

Optional Location Information

Our online booking system may allow you to provide a location pin to help our driver find the service address.

If you choose to use this feature, we may collect location information such as latitude and longitude, location accuracy, and the source of the location information.

Your written service address remains the primary service address. Location information is only collected when you choose to provide or confirm it.

2. Recipient Information

For shipments to the Philippines, we may collect the recipient or consignee’s name, Philippine mobile number, complete delivery address, and destination or delivery region.

The sender is responsible for providing accurate recipient information and for ensuring that they are authorized to provide that information to us.

Recipient information is used primarily to process, coordinate, and complete the shipment and final delivery.

3. Booking & Cargo Information

When you submit a service request, we may collect information about the service requested, box or package type, number of cargo pieces, cargo dimensions, cargo description, destination, packing or crating requirements, special handling information, customer notes, preferred payment method, deposit reference where applicable, and how you heard about Kabayan Cargo.

For surveys or unusual cargo, we may also collect information about the size, weight, condition, access requirements, photographs, or other characteristics of the cargo.

4. Shipment Declarations

For cargo collection, we may collect information through a paper or digital shipment declaration.

This may include the shipper’s name, mobile number, email address and UAE collection address; the recipient’s name, contact number and Philippine delivery address; the destination; number and type of packages; declared contents; packing requirements; special handling notes; customer acknowledgement; and the date and time of acknowledgement.

Kabayan Cargo may retain previous versions of a declaration when corrections are made before collection.

Customers may request or keep a copy of their completed shipment declaration.

5. Identification

Customers may be asked to show a valid identification document for verification.

Recipients in the Philippines may also be required to present identification when receiving cargo.

Where copies of identification documents are required for a particular service, regulatory requirement, or official process, they will be handled as personal information in accordance with this Privacy Policy and applicable requirements.

6. Payment & Transaction Information

We may collect and maintain information relating to payments and transactions, including the payment method, amount paid, deposit amount and reference, receipt or voucher reference, bank-transfer or external payment reference, deposit credits, refunds or adjustments where applicable, and invoice information.

Card and Electronic Payments

When card, installment, banking, or other electronic payment services are provided through a third-party payment provider, that provider may process information required to complete the transaction.

The privacy practices and terms of the applicable payment provider may also apply.

7. Shipment & Tracking Information

During the shipment process, we may create and maintain records such as your AKC shipment or tracking number, shipment status, shipment history, cargo quantity, destination, warehouse or transport stages, collection records, delivery status, and operational notes relating to the shipment.

This information is used to manage your cargo and provide shipment and tracking updates.

8. Survey, Packing & Quotation Information

If you request a survey, packing service, crating, or quotation, we may collect cargo descriptions, dimensions, estimated or actual weight, quantity, packing requirements, handling requirements, survey notes, cargo photographs, quotation details, and quotation acceptance information.

Photos submitted to us should generally relate to the cargo or service requirement. Customers should avoid including unnecessary personal or confidential information in photographs.

9. Claims & Cargo Concerns

If you report damaged, missing, delayed, tampered, incomplete, or otherwise affected cargo, we may collect your shipment number, sender and recipient information, delivery details, shipment declaration, supporting records, photographs, videos, description of the concern, proof of item value where available, investigation records, and information relating to the resolution of the case.

This information may be retained as part of the investigation and resolution process.

10. Information You Provide When Contacting Us

If you contact Kabayan Cargo through email, WhatsApp, Facebook, telephone, website forms, or another official support channel, we may retain the information you provide as reasonably necessary to respond to your request, maintain service records, or resolve a concern.

Third-party communication platforms such as WhatsApp or Facebook operate under their own privacy policies and practices.

11. How We Use Your Information

We may use personal information to process bookings and service requests, deliver empty boxes, schedule collections, verify customer information, prepare shipment declarations, create shipment and tracking records, calculate and confirm cargo charges, process and verify payments, apply deposit credits, arrange surveys, packing or crating, coordinate shipment movement and Philippine delivery, contact senders and recipients, provide shipment updates, respond to customer enquiries, investigate claims, maintain accounting and operational records, prevent misuse or fraudulent activity, meet applicable legal or regulatory requirements, and improve our services and operations.

We aim to collect only the information reasonably necessary for these purposes.
